Why follow-up speed matters more than most ad changes
A lead from a Meta ad or a Google search is warmest in the first few minutes. By the next day many have forgotten which business they enquired with, or have already spoken to a competitor who replied first.
In most accounts we audit, a meaningful share of paid leads never receive a reply on the same day. The ads did their job. The enquiry sat in an inbox, a spreadsheet or a salesperson's phone. No amount of bidding or creative work fixes that.
In India and the UAE, where WhatsApp is the default way people talk to businesses, the fastest fix is an automated WhatsApp reply within a minute of the enquiry, followed by a person picking up the conversation. Contact rates rise because the lead is still paying attention.
What to automate
The first reply. Within a minute of an enquiry: thank them by name, confirm what they asked about, say who will contact them and when. Short, human, specific to the service they chose.
Useful information. A price range, a brochure, a location pin, the next available slots. Anything a salesperson would send anyway, sent immediately.
Routing. Send the lead to the right person based on service, city or language, with the details in one place. Nobody should have to forward screenshots.
Reminders. Appointment confirmations the day before and a couple of hours before. Missed-appointment follow-ups. These alone often recover a noticeable share of no-shows.
A short nurture sequence for quiet leads. Two or three messages spread over a week or two, each adding something useful: a case study, an answer to a common question, a reminder of the offer. Then stop.
What to leave to a person
Qualification. Understanding budget, timeline and need works better as a conversation. A bot asking five questions in a row feels like a form, and people drop off.
Objections and negotiation. Price concerns, comparisons with competitors and hesitation need judgement.
Anything emotional or high value. Healthcare, property, education and large service contracts involve trust. The automation should hand over quickly and clearly.
The rule we use: automation handles speed and consistency, people handle judgement. When the two are mixed up, you get either slow responses or robotic conversations, and both lose leads.
Business app or Business API
The WhatsApp Business app is free and works on a phone. It supports greeting messages, away messages, quick replies, labels and a catalogue. It suits a business where one or two people answer every message.
The WhatsApp Business Platform (API) is accessed through a provider or directly through Meta's Cloud API. It allows several team members on one number, automated flows triggered by events such as a form submission, CRM integration, and approved template messages for contacting people after the 24-hour customer service window closes. Messages are charged, and pricing varies by country and message category.
Move to the API when several people handle leads, when you want enquiries to arrive automatically from forms and ads, or when you need the conversation history in your CRM. Stay on the app while volume is low and one person can keep up.
Rules that keep your number safe
Opt-in. Only message people who gave you their number and agreed to hear from you on WhatsApp. A checkbox or clear statement on your form covers this. Buying lists or messaging scraped numbers gets numbers restricted, and it is also a data protection problem under India's Digital Personal Data Protection Act and the UAE's personal data law.
Templates outside the window. If the person has not messaged you in the last 24 hours, you can only start a conversation with an approved template. Keep templates useful and specific. Promotional templates that get blocked or reported hurt your quality rating.
Easy opt-out. Tell people how to stop messages and honour it. Fewer, better messages keep block rates low.
How this plays out in different markets
In large Indian cities such as Mumbai, Delhi, Bengaluru and Hyderabad, competition for the same lead is intense, and the first business to reply often wins. Replying in the language the lead used, often Hindi, Telugu, Kannada or Marathi, noticeably improves contact rates. In Kolkata, where we are based, Bengali replies do the same.
In Dubai and Sharjah, WhatsApp is often preferred over phone calls for first contact, and offering Arabic and English replies matters. Property and healthcare advertisers there also have permit rules on what the ad itself can say, which carries through to the messages.
In the USA, UK and Canada, WhatsApp is used less for business, and SMS and email do the same job. SMS in the USA is covered by consent rules under the TCPA, and email in Canada by CASL. The principle is identical: fast first reply, useful follow-up, a person for the real conversation.
